How to use SoftMessage
 
Please select which version of SoftMessage you are using:
SoftMessage 1 Standard Edition
SoftMessage 2 Corporate Edition
 
 
Starting SoftMessage 1 Standard Edition
Via the Menu
  • Select Start
  • Select Programs
  • Select BuzzSoft
  • Select SoftMessage
  • Select the SoftMessage 1 Standard Edition icon.

Via SoftOffice
If SoftOffice is installed the toolbar will display the SoftMessage icon. Click on it and SoftMessage will start.
 
Using SoftMessage 1 Standard Edition


Accounts

When SoftMessage 1 Standard Edition starts you are asked to Login or Open a new account.


Opening a New Account

If this is the first time you have used SoftMessage 1 Standard Edition then you should open an account. To do this you must provide your email address, a password and an account name. When you click on "Open an Account" the information will be passed to our server where it will be checked to make sure that it does not already exist.
  • Enter your Email address and a password. (Your password must be 12 characters or less and you should use your active email address because should you forget your password we will email it to you at this address).
  • Enter your full name in the "Account Name" box.
  • Click on "Open a new account".

The mobile display will show that you have no messages available or pending. Pending messages are ones which have been ordered but the payment has not been authorised yet. BuzzSoft authorise the payments and transfer messages from pending to available.


Logging in to an existing Account

You enter the email address and password and select the "Login" button. The details are checked on our server and if a match is found the status of your account is shown in the mobile display.
  • Fill in your email address and password. (If you always access SoftMessage 1 Standard Edition on the same PC you can set your email address as default by clicking on the "Default" box. Then you will only have to type in your password when logging in).
  • Click "Login".


Changing Account

To change to a different account you must first "log off". If you are already logged in click on the login status button and you will log off.

Click on the button again and you will be asked to login. The same will happen if you click on the "Send message" button or the "$ Charge button".


Ordering Messages

Before you can send a message you must buy messages to put into your account. They can be purchased in blocks of 100, 200 or 500. You pay in any of up to 35 different currencies.
  • Click on the "$" button. Your browser will be launched and you will be taken to a page on our web site which will enable you to order messages.
  • Check your email address/account is correct.
  • Fill in your password.
  • Decide how many messages you want to buy and the currency you want to pay in. You can pay in any of up to 35 currencies.
  • Fill in your payment details. (We accept payment from the following credit/debit cards: Visa, Access, Switch, Delta).
  • Click on "Submit".

Once you order your message we will authorise payment and transfer their status from Pending to Available. You will be notified by email (your email address) when this happens.


Phone Book

How to add names and mobile numbers to your phone book.
  • Click on the "Book" button
  • Complete the phone book details as follows
  • Type in the name of the recipient
  • Type in their mobile number using the international numbering system i.e. the British number 07234123456 becomes +44 or 0044 7234123456
  • Click the "Add/Update" button

Sending a Message

  • Click on the "Enter message and send it " button.
  • Message To - Choose the recipient from your phone book or type in the recipients phone number
  • From - Enter what you feel is relevant i.e. your name (the message length is restricted to 20 characters)
  • Message - Enter your message (the message must not exceed 160 characters including the characters in the from box as this is a restriction of the mobile network and not SoftMessage. Please do not use "&" in your message as it may cause a problem with the delivery of the message)
  • Click the "Send" button
The message will be sent and the number of messages available will be reduced by 1. In most instances it will be delivered within a few seconds.

Via the Menu
  • Select Start
  • Select Programs
  • Select BuzzSoft
  • Select SoftMessage
  • Select the SoftMessage 2 Corporate Edition icon.

Via SoftOffice

The Windows Address Book

SoftMessage 2 Corporate Edition is integrated to the Windows Address Book. This is supplied as part of Windows.

For further details on how to maintain your contact list or lists using the Windows Address Book (WAB) please use the Help provided within the (WAB) software. The software can be found by clicking on:-
  • Start
  • Programs
  • Accessories
  • Click on the Address Book icon


Sending a Message

Your full list of contacts are shown on the left of the Message and Recipient Details Window and the message groups are shown on the right.

You select either a Group of individuals (or combinations thereof) by clicking on them with your mouse. The "To Send" total tells you how many individual messages have been selected. The "Available" total tells you how many are available before you Send them.

When the message is delivered the recipient will want to know who it is from. The contents of the "From" box will be delivered with your message. If you use either your own mobile number or a name which will be recognised by the recipients mobile then their mobile should recognise who you are and should allow them to reply to your mobile direct. If you use a number it must not be more than 11 digits in length.

Message To
If you have a message to send to someone who is not in your list. Either:-
  • Enter their number in the box labelled "Message to " or
  • Add them to your Address Book and re-open the Address Book file.
The Mobile number must be in an international format i.e. for a UK mobile it must be prefixed with either +44 or 0044 without the following 0.

From
When the message is delivered the recipient will want to know who it is from. You can enter anything you feel is relevant but the message length is restricted to 20 characters. If you entered your name for example Jim, the recipient will receive a message of:-
From: Jim,......the message

Message
Enter your message. (Please note the total length of the message including the characters in the "From" box must not exceed 160 characters. This is a restriction of the mobile operators and not of SoftMessage. Do not use a "&" characters in your message as it may cause a problem with the delivery of the message).

Sending
When ready click the "Send" button.

The message will be sent and the number of messages available will be reduced by the number sent. In most instances it will be delivered within a few seconds of despatch. When large numbers of messages are sent SoftMessage uses a special technique to reduce the time to transmit. They are batched into blocks of 200. This reduces the time spent moving information using the Internet and therefor speeds delivery.


Private Message

If the contents of the Text Message are confidential or private then click on this box. The Audit Trail will show the message as Private and will not reveal the message sent. This does not affect the delivery or format of the message in any way.


Audit Trail

Every time a message is sent an entry is written to an Audit Trail file. This records the destination number, the date, the time and the text sent. If the message is being sent to more than one mobile then an entry is written identifying the number of messages sent rather than the individual numbers. The full text sent will be listed unless the "Private" box was selected. In which case the phrase "Private or Confidential" will be shown.


The Audit Trail

To look at the Audit Trail you can either:-
  • Use the built in function within SoftMessage
  • Open the Audit.csv field stored in the SoftMessage installation folder (usually \Program files\BuzzSoft\Sm) using a spreadsheet.
Most popular spreadsheets enable you to import CSV (Comma Separated Variable) format files. The Audit Trail contains a Header row showing the contents of each column and all the messages sent. If you delete the CSV file SoftMessage will re-create it.


Importing Audit file to Microsoft Excel
  • Launch Excel
  • Select Data
  • Select Get External Data
  • Select Import Text File
  • Set Files of Type to All Files
  • Select Audit.csv file then Import
  • Select Delimited then Next
  • Select Comma then Next
  • Set Number Column as Data format Text then Finish
  • Select the cell to start Importing the Data to
